We collect personal data in the following ways:
a) Contact form and hall hire enquiries
When you submit an enquiry via our website contact form or hall hire form, we collect your name, email address, and the contents of your message. We use this information solely to respond to your enquiry. We do not add you to any mailing list without your separate consent.
b) Online donations via GiveWP
If you make a donation through our website, we collect your name, email address, postal address, and payment information. Payment transactions are processed securely by Stripe. We do not store your full card details.
If you opt in to Gift Aid, we also collect additional information required by HMRC, including your full name and home address, and confirmation that you are a UK taxpayer.
c) General parish activities
In the course of our parish activities, we may collect personal data including names, addresses, telephone numbers and email addresses. This data is used to:
- Promote the mission of the church including pastoral, evangelistic, social and ecumenical work
- Administer the Electoral Roll
- Manage employees and volunteers
- Maintain accounts and records (including processing of Gift Aid)
- Send information about news, events, activities and services, where you have consented to receive this
d) Website analytics
We use Google Analytics (via Google Tag Manager) to understand how visitors use our website. This may collect information such as pages visited, time spent on site, and approximate location. Analytics cookies are only set with your consent. Please see our Cookie Policy for more detail.
3. Legal basis for processing
Under UK GDPR, we rely on the following legal bases:
- Consent: for analytics cookies, marketing communications, and any processing where we have specifically asked for your agreement.
- Legitimate interests: for responding to enquiries submitted via our website forms and for the administration of parish activities.
- Legal obligation: for processing related to Gift Aid, employment, or other statutory requirements.
- Religious organisation legitimate interest: for maintaining contact with members and regular attendees in connection with the purposes of the church, where no disclosure to third parties without consent takes place.
4. How long we keep your data
We keep personal data only for as long as necessary:
- Contact form and hall hire enquiry emails: deleted after 12 months
- Donation records and Gift Aid declarations: retained for 6 years from the end of the relevant tax year, as required by HMRC
- Electoral roll data: retained while current
- Parish registers (baptisms, marriages, funerals): retained permanently
- Employee and volunteer records: in accordance with employment law and Church of England guidance
5. Who we share your data with
We treat your personal data as strictly confidential. We share it only in the following circumstances:
- Stripe: our payment processor for online donations. Stripe processes your payment card details securely. We do not pass your card data to any other party. Stripe’s privacy policy is available at stripe.com/gb/privacy.
- Diocese of Lichfield: we may share your contact details with the Diocesan office where you have consented to receive information about diocesan news and events.
- Other church members: contact details may be shared with other members of the church where this is necessary to carry out a service to other members or for purposes connected with the church.
We do not sell your personal data to any third party. We do not transfer your data outside the United Kingdom.
6. Your rights
Under UK GDPR, you have the following rights:
- Right of access: you can request a copy of the personal data we hold about you.
- Right to rectification: you can ask us to correct inaccurate or incomplete data.
- Right to erasure: you can ask us to delete your data where there is no longer a legitimate reason to retain it.
- Right to restrict processing: you can ask us to pause processing of your data in certain circumstances.
